PURPOSE STATEMENT

The main purpose and the reason the Rescue Mission exists is to fulfill the great commission as outlined by Jesus Christ in Matthew 28:19 and 20.  Go therefore and make disciples of all the nations, baptizing them in the name of the Father and of the Son and of the Holy Spirit, teaching them to observe all things that I have commanded you and lo, I am with you always, even to the end of the age, Amen.  The general purpose of all the residential rehabilitation programs is to prepare men to return to the mainstream of our society and become responsible productive members of that society.

Job Purpose / Summary: Under supervision of the Executive Director, this position performs administrative duties for MURM, providing teamwork with other staff including Administrative Development Director, Mission Supervisor, etc. Performs all related duties as assigned.

 

Duties and responsibilities Daily

  • Work hours are 8 am to 4:30 pm Monday through Friday.
  • Post all receipts/donations to the accounting program.
  • Prepare letters and Statements for individuals, churches, groups, etc.
  • Acknowledge Memorial/Honorarium Gifts.
  • Check daily E-mails and communicate information to those that need to know.
  • Answer messages left on phone and follow up and follow through with communication to the right staff member.
  • Order and/or purchase supply items as needed in coordination with other staff.
  • Keep Employee’s personal files up to date, including any paperwork that needs to be updated and signed by the employee, and personal Time-off request forms. (Most of this will be maintained on Gusto.)

The Accounting system through Gusto will do the following:

  • Pay Weekly employees.
  • Keep track of Employee personal Time-off request forms according to the Employee’s Handbook of allotted time off. Please keep update on this
  • Staff IRS Tax Deposit
  • Staff WV Tax Deposit
  • State Quarterly Report for Staff
  • Annual State Report for Staff
  • Annual Federal Report for Staff
  • W’2’ & W’3’s

Monthly

  • Prepare the Store Sales Tax Report and send to Accounts Payable for payment.
  • Prepare Bank Reconciliation Reports for all bank accounts.
  • Gather total status for the month and send to the ED for approval before giving out to anybody. (ex. Decisions for Christ, Chapel Attendance, Meals, Lodging, Clothing & Shoes, etc.)
  • Update mailing list and send to printer for monthly newsletters.
  • Update mailing list and send to Patrick for email blasts.
  • Send emails and phone calls to the Board of Directors of Monthly meeting time 5 days before the meeting.
  • File copy of Board Minutes for office and Board of Directors.

Annually

  • Manage Christmas shoebox project promotion and distribution in coordination with other staff.
  • Prepare Christmas gift bags for residents and guests in coordination with other staff.
  • Prepare Charitable Registration to State (due before July 3).
  • Contact the Mission Auditor to start the process for audit and Form 990 report each January.
  • Gather information for Form 990 and the audit and submit it to the Mission Auditor in January.
  • Make sure Form 990 is submitted by May 15th.

As needed

  • Communicate with printers on needs for newsletters, envelopes, Christmas appeal letter, Thanksgiving appeal letter, Easter appeal letter, summer appeal letter and other related printer needs.
  • Make computer signs on computers for store sales, etc.
  • Make computer signs, postcards, bulletins, etc.
  • Perform other duties as assigned by Supervisor.

The Administrative Assistant position requires:

  • A personal relationship with Jesus, good working knowledge of the Bible, attendance in a Bible believing church.
  • Able to share your personal Christian testimony to all that you encounter.
  • High School Diploma or equivalent required. Associate degree or certificate/diploma from a trade or vocational school in related field desired.
  • One year directly related experience supporting at the executive level. Experience in professional services, sales or marketing environment preferred.
  • Excellent verbal and written communication skills.
  • Must have a high degree of business sense and a great influencing ability to persuade people on behalf of the Mission.
  • Excellent organization and calendar management skills, including the coordination of complex executive meetings.
  • Must be able to carry him/herself well in business conferences and meetings, as may be required to represent the Office Manager, Superintendent or Board of Directors in important business functions and communications.
  • Ability to manage multiple projects and stay on deadline.
  • Knowledge and experience working with social media. For Example, Facebook, Instagram, Twitter.
  • A pleasant, flexible personality to people that you are speaking to on the telephone, visitors, and the MURM staff.
  • Must maintain a professional demeanor in all situations and be able to recognize and maintain confidentiality of information as appropriate.
  • Ability to manage incoming high volume of telephone calls.
  • Knowledge of MS Office Programs (Outlook, MS Word, MS Excel) working knowledge of communication equipment (paging, radio/walkie-talkie)
  • Maintains an acceptable driving record (in accordance with our insurance carrier, less than 2 DMV points on driving record).
